Using Office Software

Very large applications (thousands of entries) are more often handled in databases where you only see the data you are entering. You have to request a report or different display to see more of the information in a database. Excel spreadsheets are used for calculating, totaling, or generating sophisticated formulas to calculate statistical measures all on the same page view.

This makes spreadsheets easier to get calculations from than a database program and makes them better suited for special projects. Excel spreadsheets and templates are available from Microsoft and developers on the net in areas such as budgeting, inventories, surveys, research, forecasting, financial and accounting applications to name just a few.



I strive to use the features in Excel to create spreadsheet programs for different applications that are intuitive and easy to use. They are designed to be used with minimal instructions or manuals and can easily make the transformation from local Excel solutions into corporate-wide applications.

Microsoft Access is great for developing interfaces to data, and providing users with comprehensive tools to manipulate and analyze business data. Access is a favorite tool for prototyping an application format you may want to grow into.

Microsoft, as well as many Access users and developers, offer lots of free templates and solutions to get you started. Applications built in MS Access are very flexible and can be easily modified as your requirements and processes evolve.

It's also great for relieving problems with Excel. Problems can occur when trying to use dozens of spreadsheets. Between shared files, email files, and increased demands for information, with Excel things can suddenly get out of control. Databases provide a more structured approach for managing critical data than is possible with an Excel spreadsheet.


You can develop, test and debug small applications and systems with small to medium sized databases of up to 5 simultaneous users. You can create tables, forms, and reports, and find free templates and data models that can be customized for your needs. Some VBA solutions with Access (A programming language embedded within an individual Microsoft application) are also available for those specialized requirements.

The standard method for making a presentation is to talk about a list of organized points. PowerPoint by Microsoft is a complete presentation graphics package designed to engage your audience in the process. With PowerPoint you can insert narration, video, sound, as well as enhance images and share your presentations with a work group or on the Web.

There are also many templates available for PowerPoint from Microsoft and developers on the net you may choose to use or model from. I have listed below seven of the “Secrets for Using PowerPoint Effectively” by Dave Paradi, the PowerPoint Lifeguard that are good points to keep in mind when designing a PowerPoint presentation.

1) Develop a presentation with the content.

2) Contrast the text and the background color.

3) Make the text appear instead of using special effects. It’s the easiest for the audience to read and movement on the screen draws the audience attention from the presenter.

4) Use the free Microsoft PowerPoint Viewer to present your presentation. The small size of the program is less prone to crashing and it has a special feature where you can set up a list of presentation files that will run concurrently.

5) The last slide you speak to should not be the last slide in your presentation. You should have three identical copies of your last slide so that if you accidentally advance one too many times at the end of your presentation, your audience never knows.


6) To blank the screen press the B key on the keyboard and the image is replaced with a black image. Press the B key again and the image is restored. If you want to use a white image instead of a black image, press the W key.

7) To draw on the screen during your presentation, to illustrate a particular point or item, press the Ctrl-P key combination to display a pen on the screen. Then, using the left mouse button, draw on the slide as you wish. To erase what you have drawn, press the E key. To hide the pen press the A key or the Ctrl-L key combination.
